The primary function of the Sales Order Specialist is to be able to act on behalf of any team member in a moment’s notice to ensure a smooth order processing experience, including order accuracy and efficiency. This individual will be provided weekly coverage assignments by management and function as the liaison between sales representatives and suppliers during the entire order processing life cycle and will report to the Sales Order Specialist Supervisor.

Essential Functions

• Effectively collaborate with management on weekly support assignments to ensure all shifts are covered
• Provide assistance to immediate team members when not on a coverage assignment
• Effectively collaborate with immediate team members to ensure all tip sheets and out of office documentation is up to date
• Properly document all supplier fulfillment discrepancies
• Run weekly open-order report for all team members and close outstanding orders; Attend weekly order update calls
• Assist management with interviews, onboarding tasks, and training for new hires
• Effectively collaborate with sales representatives and suppliers on a regular basis to ensure smooth order coordination and fulfillment
• Effectively collaborate with immediate team members, supervisor, and other departments on a regular basis to answer general questions, resolve issues, and ensure accurate client billing
• Review orders, verify details, facilitate order proofing, track statuses, and ensure orders are shipped and arrive as scheduled

Job Specifications

• High school diploma or equivalent
• Strong customer service skills and adaptability to different personality types a must
• Quick learner, with strong multitasking, organizational and time management skills, as well as attention to detail
• Ability to effectively communicate with others both written and verbally
• Intermediate computer skills and knowledge of Microsoft Office programs (including Outlook, Word, Excel, and Teams )
• Must be Windows PC proficient
• Knowledge of Salesforce and/or NetSuite preferred
• Ability to work in a fast-paced constantly changing environment and meet tight deadlines
• Call center experience a plus!

Other Specifications

• Work schedule for this position is Mon – Fri, 8:30 AM – 5:30 PM CST
• Remote applicants must have cable or fiber internet connection with speeds of 100mbps download or higher. No primary internet connections of satellite, hotspot, or DSL.
• Position can be fully remote with preference given to candidates withing driving distance of any of these locations – Austin, TX, Cincinnati, OH, Phoenix, AZ, and St. Paul, MN.
