About the Role:
The Operations Coordinator plays a vital role in supporting day-to-day production and cleanroom operations. This role ensures compliance with safety standards, maintains operational efficiency, and enables engineers, technicians, and operators to focus on core manufacturing activities. By taking ownership of critical administrative and logistical tasks, this position directly contributes to productivity, quality, and operational excellence.
Duties and Responsibilities:
- Workforce onboarding coordination:
- Arranging reporting to supervisor.
- Preparing and handover necessary new joiner kits.
- Conduct briefing of operations protocol, rules and guidelines.
- Documentation, Compliance & Quality Assurance:
- Maintain accurate records of onboarding, operations activities and logs with proper filing for both hardcopy and softcopy.
- Ensure all documentation meets ISO, GMP, and clean room regulatory standards.
- Support quality control processes and procedures as well as assist internal and external audits with complete and organized documentation.
- Inventory & Materials Control:
- Coordinate with procurement and warehouse teams to ensure new material request being secure and existing material timely availability of indirect material supply enables smooth and efficient operations workplace.
- Track inventory levels and initiate replenishment requests.
- Ensure proper labeling, storage and handling of materials in supporting replenishment.
- Cross-Functional Communication:
- Collaborate with key stakeholders in arrangement visitor and customer visit production floor.
- Facilitate real time communication in production floor such as KPI metrics, scheduling, safety and training, any reinforcing of GMP and operational communication.
- Liase with respective team to perform routine inspection ensure 6S compliance.
- Operational KPI and Efficiency Support:
- Coordinate all staff’s KPI settings and evaluation on time to ensure alignment with department and company’s strategy and direction.
- Follow up with respective team to ensure open action closure on time.
- Proactively identify gaps in 5M + 1E, compliance and recommend improvements.
- Document management: storing physical papers to keeping digital files in check, organized and masters in using document management software.
- Perform general administrative duties and support operations team.
- Perform any other ad-hoc duties as assigned.
Required Qualifications:
- Minimum 3-5 years’ experience in Manufacturing Operations environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other office software, WMS, Oracle Fusion and RF Smart Application.
- Knowledge of regulatory requirements, such as Occupational Safety and Health Administration (OSHA) guidelines, ISO 19001 and 14001.
- Fluency in both English and Bahasa Malaysia.
- Familiarity with office software: Proficient in using Microsoft Office (or Google Workspace) to prepare docs, work on slides, manage data, and more.
- Advanced scheduling: Plan ahead and track performance by using smart scheduling tools for quick and error-free scheduling.
- Communication skills: Able to communicate well with stakeholders - needs to be clear, professional, and accurate in their messaging and keep everyone on the same page.
- Problem-solving: must have a knack for identifying issues and coming up with quick solutions is key to keeping production running when unexpected challenges arise.
- Attention to detail: must be meticulous and help warehouse admins avoid data entry errors, scheduling conflicts, an undersupply of office materials, and other mistakes.
- Time management: comfortable dealing with various requests and be great at prioritizing tasks and managing time.
