About the Role:
As a Shipping Clerk, you will be responsible for preparing shipments and shipping documents for outbound delivery. This role requires strong organizational skills, attention to detail, and effective communication abilities to facilitate smooth inbound and outbound shipping processes..
Work Location: Onsite – Pasir Gudang, Johor, Malaysia.
Key Responsibilities:
- Prepare and process shipping documents, including invoices, packing lists and labels ensuring accuracy and compliance with company policies.
- Communicate with shipping companies, freight forwarders and other logistics provides to arrange incoming and outgoing shipments, optimizing schedules to meet customer requirements.
- Able to handle sea, air and land freight arrangements. Familiar with managing FCL and LCL shipments. Manage and monitor local trucking lead times and track deliveries.
- Ensure accuracy of shipment details, such as weight, quantity, HS code and destination
- Wrap, pack, and label goods carefully to prevent damage during transit
- Coordinate with the crating vendor (if required) for any outgoing shipments preparations, crating readiness and per shipment plans.
- Process and document returned goods/raw materials, i.e. RTV/RMA, coordinating with relevant departments to resolve any issues.
- Monitor and track shipments, providing updates to customers and internal teams on the status of deliveries.
- Keep detailed records of all shipping activities, including shipment dates, costs and carrier performance to ensure accurate reporting and audit readiness for billing payment and compliance purposes.
- Ensure that all shipping activities comply with local and international regulations, including customs requirements and safety standards.
- Support Finance & Logistics teams in quarterly, yearly or ad-hoc audits in the warehouse or FG (finished goods) area.
- Other duties as assigned.
Education / Skills / Abilities / Work Experience Requirements:
- Min. Diploma / Degree in Logistics, Transportation and Distribution.
- 1 – 2 years’ experience in Logistics operations / Shipping industry.
- Proficiency in using shipping software and inventory management systems, Microsoft Office Suite and advanced computer skills.
- Strong problem-solving skills, proactive, and able to work independently as well as part of a team.
- Familiar with HS code, customs, government agencies rules & regulations would be an added advantage.
- Basic knowledge of computer software packages.
- Proficiency in English is essential.
- Customer-oriented, mature and able to work independently.
- Good interpersonal skills and attention to detail is vital.
