Agile Document Administrator

Job Description

About the Role:

Brooks is a prominent leader in the Semiconductor industry, known for our innovative technology and sustainable solutions. As part of our strategic expansion in Malaysia, we are seeking an experienced Agile Document Administrator to report into the Supply Chain organisations.

The Agile Document Administrator plays a critical role in supporting the Strategic Sourcing organization by managing supplier‑related documentation, part records, and engineering changes within the Agile PLM system. This role ensures data accuracy, compliance, and timely processing of sourcing‑related Engineering Change Orders (ECO), Supplier Change Notifications (SCN), and Item Master updates.


The position acts as the documentation focal point between Sourcing, Supplier Quality, Engineering, and Operations, ensuring that supplier-driven changes are correctly reflected in PLM to support material readiness, cost controls, and supply continuity.

Work Location: Onsite - Pasir Gudang, Johor Bahru.

Key Responsibilities:

1. PLM Documentation Management for Sourcing

  • Maintain and update supplier-related documentation: datasheets, PPAPs, compliance certificates, cost files, supplier declarations, and part specifications in Agile PLM.
  • Create, review, and release ECOs/DCOs related to supplier changes, cost updates, or part transitions.
  • Ensure part attributes (AML/AVL, sourcing status, supplier codes, lead times) are accurate and up to date.

2. Supplier Change & Sourcing Support

  • Administer supplier-driven changes in PLM, including Supplier Change Notifications (SCN), PCNs, cost updates, and part discontinuation notices.
  • Coordinate required documentation with suppliers and ensure timely submission and PLM updates.
  • Support sourcing decisions by maintaining accurate Approved Manufacturer Lists (AML) and second-source records.

3. Agile Workflow & Change Control

  • Manage approval workflows for sourcing-driven ECOs and ensure timely routing to appropriate stakeholders (Sourcing, SQE, Engineering, Planning).
  • Monitor change cycle times; follow up with approvers to prevent delays.
  • Ensure all changes comply with internal sourcing, quality, and PLM policies.

4. Cross-Functional Coordination

  • Work closely with Strategic Sourcing Managers, Commodity Managers, Supplier Quality, Engineering, and NPI teams.
  • Support sourcing projects such as resourcing, cost-down initiatives, supplier transitions, and NPI component setups.
  • Provide document control support for supplier audits, RFQs, and sourcing reviews.

5. Data Accuracy, Governance & Compliance

  • Ensure correctness of BOM structures, part metadata, sourcing fields, and supplier identifiers.
  • Maintain accurate revision history and document traceability in Agile PLM.
  • Support compliance needs (RoHS, REACH, Conflict Minerals, environmental documents) by maintaining supplier submissions in PLM.

6. User Training & System Support

  • Provide Agile PLM guidance to sourcing and supply chain users.
  • Assist in developing and maintaining document control SOPs, templates, and process guidelines.
  • Support troubleshooting of PLM issues and coordinate with IT/PLM support teams when needed.

7. Any other duties as assigned.

Qualifications & Requirements:

Education & Experience

  • Diploma or Bachelor’s degree in Supply Chain, Business Administration, Engineering, or related field.
  • 3–5 years’ experience in document control, PLM administration, or sourcing support roles.
  • Experience with Agile PLM (Oracle Agile) strongly preferred.
  • Background in supply chain, strategic sourcing, or supplier documentation management is a plus.

Skills

  • Strong understanding of change management, supplier documentation, and PLM workflows.
  • High attention to detail and accuracy in documentation.
  • Effective communication and coordination skills across multiple departments.
  • Proficiency with MS Office, Agile PLM, and ERP systems (SAP/Oracle).
  • Ability to read basic engineering documents (drawings/specs) is beneficial.
