We are seeking a Senior Trade Show & Event Manager to lead the planning and execution of our strategic third-party events program for key growth segments including trade shows and conferences. This role will also play a pivotal part in shaping our ConneXions at Local regional event program and lead a high-visibility workstream for ConneXions, our annual conference. The ideal candidate will collaborate cross-functionally with Calix executives and leadership in sales, field marketing, and product marketing to develop and drive our third-party event strategy.

Responsibilities and Duties:

  • Lead planning of all assigned events and tradeshows including strategic development, budget management, logistics, production, execution, and post-event evaluation and recommendations.
  • Proven success managing multiple concurrent events and competing deadlines.
  • Drive the strategic planning process for a company-wide approach to third-party events.
  • Collaborate with stakeholders to align event strategy with personas and attendee profiles.
  • Responsible and accountable for delivering all aspects of the event within the approved financial scope, ensuring that the overall event objectives, deliverables, and timelines are met and exceed expectations.
  • Develop event presence and expected outcomes with internal teams.
  • Research and select venues, vendors, and suppliers.
  • Coordinate logistics, such as venue selection, event setup, audiovisual requirements, transportation, and hotel accommodation arrangements.
  • Create and manage event schedules, timelines, and run-of-show plans.
  • Assist in negotiating contracts and agreements with venues, vendors, and suppliers.
  • Serve as main communication point for all key stakeholders on event-related details
  • Responsible for budget development and management of each event.
  • Individual contributor role responsible for cultivating and maintaining effective external relationships with vendors and other essential partners.
  • Develop and present event plans and recaps for internal audiences, including event staff, customer facing teams and executive team.
  • Coordinate event registration and ticketing processes, managing attendee lists and RSVPS.
  • Oversee event logistics during the event, ensuring that everything runs smoothly and according to plan.
  • Drive all post-event feedback gathering, evaluating event success, and generating post-event reports.

Qualifications:

  • Ability and willingness to travel approximately 30% - 40% including weekends as needed for events.
  • Minimum 8-12 years of relevant trade show, conference, and event professional work experience, including providing logistic support and leadership of conferences and events.
  • Must have advanced skills across the full Microsoft ecosystem, including Office Suite (Word, Excel, PowerPoint, Outlook) and productivity/collaboration tools such as Teams, SharePoint, and OneDrive.
  • Advanced knowledge of Cvent is preferred. Experience with additional event software tools is preferred.
  • Bachelor’s degree preferred.
  • Strength in collaborating with internal stakeholders including at the senior executive level.
  • Strong project-management skills, including being detail-oriented and managing toward aggressive timelines.
  • Ability to work early mornings and evenings during events and during key planning periods leading up to the conference.
  • Ability to establish and maintain positive relationships with customers, partners, and vendors.
  • Ability to create and budgets utilizing Excel (Pivot Tables, Formulas, etc.) Prefer Intermediate or Advanced Excel skills.
  • Ability to negotiate and implement conference contracts and partnerships.
  • Willingness and ability to take accountability and with a positive attitude.
  • Excellent customer service skills.
  • Ability to handle high stress working environments during event; ability to operate in a fast-paced and deadline-driven environment.
  • Ability to deal with confidential information and/or issues using discretion and judgment.
  • CMP or similar certification a plus.

Location:

  • Calix is a fully remote company so this position can be located in the United States or Canada.

The base pay range for this position varies based on the geographic location. More information about the pay range specific to candidate location and other factors will be shared during the recruitment process. Individual pay is determined based on location of residence and multiple factors, including job-related knowledge, skills and experience.

San Francisco Bay Area:

133,400 - 200,100 USD Annual

Select US Metros and States:

116,000 - 174,000 USD Annual

Other US Locations:

104,400 - 156,600 USD Annual
