As the Patient Administration System Support Officer you will provide first line support and advice to both Managers and Organisation staff on the WebPAS System.

Working closely with the National WebPAS Manager you will provide WebPAS Support to all end users on a day-to-day basis. In addition, you will be responsible for key tasks during any future WebPAS System Implementation Rollouts, particularly as Healthe Care executes new Hospital Acquisitions.

Primary Duties and Responsibilities

  • Be the first contact both internally and externally for all WebPAS system support services for organisation staff

  • Be responsible as 1st level Support for all Healthe Care Surgical Hospital Sites using the WebPAS System

  • To provide system administration, including generation and maintenance of user accounts and passwords.

  • Write cyberquery reports

  • Support Webpas-related projects such as integration with other systems, or annual upgrades.

  • Maintaining Health Fund Billing rates on an annual basis, and working closely with the National WebPAS Manager and Health Fund Contract Manager to develop required excel upload spreadsheets for all Health Funds for each Hospital Site

  • Setup and maintain all necessary configuration tables or settings to ensure WebPAS end users can use the system in a timely manner and produce accurate data that is standardised across all Healthe Care entities

  • To conduct analysis and investigate possible solutions to resolve staff queries of the WebPAS system

  • Be responsible for providing ongoing Training for all Healthe Care Surgical Sites – through conducting online training or Site visit, to be coordinated with the National WebPAS Manager

  • Be responsible for managing and escalating Support Issues to the WebPAS vendor – Dedalus. To provide day-to-day support for the users, and diagnose and remedy any errors or malfunctions of the system, providing feedback to National WebPAS Manager, Dedalus and IT

  • Be responsible for providing future improvements in processes to the Healthe Care Hospital Group

  • To be able to conduct test scenarios in a WebPAS non-production environment, to assist in validating bugs, issues raised and resolution thereof

  • To provide advice to all Managers, Director of Nursing, Ward Managers and general end users on processes not being followed, or better use of the system

  • To participate and potentially manage tasks in sub-projects as required (i.e. rollout of additional WebPAS modules)

  • Undertake pilots for new developments of the software / interfaces as required.

  • Be responsible for all Training to ensure clinical and non-clinical staff appropriately use the system to assist the Organisation in meeting its financial targets

  • Producing materials and conduct training sessions for all staff required to use WebPAS

  • Participate in the orientation and training of newly appointed staff to the system, following the training sessions provide 'hand holding' at users workstation

  • Identify any lack of understanding / competence with users and rectify with further training sessions or one to one support

  • Understand the demands on Medical Records coding and Billing teams offering advice and support to ensure Revenue Budget compliance are met.

Required Qualifications and Experience

Mandatory Requirements

  • 2 years WebPAS Maintenance, IT experience.

  • Excellent knowledge of hospital administration processes.

  • Excellent knowledge of the private health fund claiming process.

  • Excellent Microsoft Office and desktop skills

  • System administration & support experience, preferably providing support to multiple sites within a company group

  • Working with different departments and outside organisations

  • Experience in working in a team and managing own workload

  • Keyboard / data entry skills

  • Ability to cope with unexpected workloads and changing priorities, and proven ability to effectively plan work activities and meet strict timelines

  • Strong diagnostic and problem-solving skills

  • Working in Health Care and particularly Hospital industry

  • Understanding of how Healthcare works

  • Desire and willingness to maintain knowledge and skills through liaison with internal and external parties.
