Executive Assistant & APAC Operations Coordinator
The Executive Assistant & APAC Operations Coordinator provides high-quality administrative, travel, office, and operational support to the Regional Vice President, APAC Sales, the regional sales leadership team, and the broader commercial organisation. This role ensures smooth day-to-day operations across the APAC region, supporting business cadence, travel and logistics, customer meeting coordination, and office management.
This is a hybrid role suited to a proactive, highly organised professional who enjoys variety, autonomy, and helping shape how a fast-paced regional team operates. We are looking for an experienced and driven individual who can partner closely with senior leadership, enabling them to effectively execute strategic priorities while maintaining a high level of confidentiality and professionalism.
Key Responsibilities
Executive Support
- Coordinate domestic and international travel for the Regional Vice President and APAC commercial leaders (flights, accommodation, visas, ground transport).
- Prepare briefing notes, trip packs, itineraries, and meeting documentation for regional and global engagements.
- Manage expenses, credit card reconciliations, reimbursements, and purchase orders.
- Support sales cadence by formatting presentations, compiling pre-reads, and tracking follow-up actions.
- Manage sensitive information and confidential correspondence with discretion.
- Assist with creation and refinement of executive-level presentations.
- Coordinate logistics for customer visits, partner engagements, and VIP meetings.
APAC Operations & Team Support
- Coordinate regional meetings: QBRs, MORs, All-Hands, workshops, and offsites.
- Support onboarding for new team members (IT setup, induction plans, access, equipment).
- Liaise with HR, Finance, Legal, IT and Sales Operations to ensure smooth day-to-day functioning.
- Support procurement, vendor management, and contracting for service providers.
- Assist with light reporting, data collation, and document management (Teams/SharePoint).
Office & Facilities Management
- Oversee the Melbourne office/coworking environment (access, supplies, equipment, visitors).
- Point of contact for building management, maintenance, and safety compliance.
- Coordinate office events, workshops, and small team gatherings.
- Manage courier services, mail, printing, equipment ordering, and office supplies.
Experience you bring:
Required
- 5+ years in Executive Assistant, Office Manager, or Operations Coordinator roles.
- Demonstrated experience supporting senior executives.
- Experience supporting regional or global teams.
- Strong senior stakeholder coordination skills.
- Proven ability to book and manage complex international travel.
- Experience processing expenses and managing purchase orders.
- Experience preparing meeting materials, coordinating logistics, and managing follow-up actions.
- Strong document creation and formatting skills (MS PowerPoint, MS Word).
Preferred
- Facilities coordination or office management experience.
- Understanding of Health & Safety requirements.
- Experience supporting events or workshops.
- Experience coordinating onboarding for new employees.

- Familiarity with productivity tools including SAP Concur and Oracle.
- Excellent writing, editing, and document quality-control skills.
