办公室运营过程中的服务管理,如保洁、保安、虫控、班车、邮件收发、访客、钥匙\门禁及安保管理,确保办公室的良好面貌及安全 办公室的文具、办公用品、茶水间/卫生间等必须的耗品管理,确保办公室内的必须供应 为东区员工提供员工卡、名片、移动统付等服务 负责与园区的沟通、如设施安全、园区停车、以及办公室使用过程中与园区相关的各项事宜 负责上海办的设施管理,进行必须的巡检,发现问题及时联系供应商,指定合适的维修和整改方案,确保办公室各项设施及服务的正常运行 上海办CKC培训支持,按照既定的SOP对CKC的安全及整洁进行管理 设施服务供应商的绩效管理,制定考评机制,并不断优化,以不断提高供应商的绩效及现场设施管理及服务质量 完成每月KPI考核,按照考评结果与供应商制定相应的整改方案,并跟进完善进度 东区办公室相关费用付款事宜,并进行运营相关数据统计及分析 按照采购流程对现场所需的维修及服务进行方案比价,制定预算,并按照公司的DOA获取相应的批复,以及批复后后相应的执行,及供应商管理。 负责设施管理相关的员工沟通,通知等,维护facility SharePoint,确保现场服务的完整性、及时性以及满意度 设施管理过程中的SOP执行,完善及优化,创建并维护设施服务过程中的工作流,优化工作方式及效率 采购供应商筛选及合约管理、如文具、快递、茶水间、绿植、虫控、保洁、保安等 固定资产库存管理,按照Finance的要求定期盘点,确保资产清单的准确性及可追溯等 与团队其他同事团队协作 设施运营过程中的图纸、维保、维修记录,巡检记录,年检,报告等文档管理 东区办公室相关的各项合约和账单付款的跟进 应对必须的内审、外审、客户审核等,并负责相对应的整改,以确保设施运行的合规 主管安排的东区区办公室或员工支持相关的其他事宜

Key Responsibilities:

As the Facility Steward for the East Region, Maintain a clean, comfortable, and safe office environment for East Region offices, while providing professional facility management and administrative support to these offices.

Service management during office operations, including cleaning, security, pest control, shuttle bus, mail handling, visitor reception, key/access control, and security management, to ensure the office maintains a good appearance and safety. Management of office stationery, supplies, and essential consumables for pantries/restrooms, ensuring adequate on-site stock. Provide services such as employee ID card issuance, business card printing, and corporate mobile plan management for East Region staff. Liaise with the industrial park on matters including facility safety, parking arrangements, and other park-related issues arising from office operations. Responsible for facility management of the Shanghai Office: conduct necessary inspections, promptly contact suppliers upon identifying issues, develop appropriate maintenance and rectification plans, and ensure the normal operation of all office facilities and services. Support CKC training at the Shanghai Office: manage the safety and cleanliness of the CKC in accordance with established SOPs. Performance management of facility service suppliers: develop evaluation mechanisms and continuously optimize them to improve supplier performance and on-site facility management/service quality. Complete monthly KPI assessments, formulate corresponding rectification plans with suppliers based on evaluation results, and follow up on progress. Handle payment matters related to East Region office expenses, as well as collect, statistics, and analyze operation-related data. Conduct quotation comparisons for on-site maintenance and services in accordance with procurement processes, prepare budgets, obtain approvals in line with the company’s DOA, implement approved plans, and manage relevant suppliers. Communicate facility management-related information to employees (e.g., notifications), maintain the facility SharePoint site, and ensure the completeness, timeliness, and satisfaction of on-site services. Implement, refine, and optimize SOPs for facility management; establish and maintain workflows for facility services to improve work methods and efficiency. Supplier selection and contract management for procurement categories including stationery, courier services, pantry supplies, greenery, pest control, cleaning, and security. Fixed asset inventory management: conduct regular counting as required by Finance to ensure the accuracy and traceability of asset lists. Collaborate with other team members. Document management for facility operations, including drawings, maintenance records, inspection reports, annual inspections, and related documents. Follow up on the payment of contracts and bills related to East Region offices. Respond to internal audits, external audits, and customer audits as required; lead corresponding rectification efforts to ensure compliance with facility operation standards. Undertake other East Region office or staff support tasks assigned by the supervisor.
