About You:

You are a detail-oriented professional with a passion for contract management and operational efficiency in the property industry. Your skills in accurate record-keeping and clear communication make you an asset when coordinating with internal teams, clients, solicitors, and builders. Key Responsibilities:

  • Manage and coordinate updates for Expressions of Interest (EOIs), contracts, and deposits with builders and developers, ensuring accurate records and timely updates in the CRM system.
  • Oversee the end-to-end management of the overall contract process (from EOI to Unconditional)
  • Prepare property information and manage contracts for re-sales, ensuring effective communication with clients and internal teams.
  • Process sales, verify documents, handle amendments, and work closely with clients, solicitors, and builders/developers to ensure strict contract accuracy and compliance.
  • Maintain detailed database records, generate contract status reports, and ensure adherence to auditing standards.
  • Coordinate deposit management, including liaising with clients, solicitors, and builders/developers regarding payment arrangements, refunds, and updates.
  • Support property presentations, collaborate on marketing materials, and perform additional duties as required.
  • Required Skills and Experience:
  • Proficiency in Microsoft Office Suite and experience with DocuSign.
  • Excellent oral and written communication skills, with the ability to work effectively in a team environment.
  • Strong planning, organisational, and time management skills.
  • Ability to complete tasks accurately and on time.
  • Ability to prioritize and manage multiple tasks while working autonomously and adapting to flexible working hours.
  • Attention to detail, initiative, and a high standard of work.
  • A positive, self-motivated attitude.
  • Previous experience in contracts administration or a related field.
  • Familiarity with auditing procedures and compliance standards.
  • Willingness to travel interstate for live property events.

Qualifications:

  • 2-3 years of industry experience (preferred, but not essential).
  • Knowledge of mortgage loans, property transactions, and/or construction is preferred.
  • Clear Police and Credit Reports (mandatory).

Please be aware that this position is a full-time on-site role and work from home arrangements are not an option. Successful candidates must be prepared to work exclusively from the office in Melbourne.
